1. Bookings & Payments
- All bookings are subject to availability and are only confirmed upon receipt of a 20% non-refundable deposit.
- The remaining balance must be paid no later than 5 days prior to the date of travel, unless otherwise agreed in writing.
- We reserve the right to cancel any booking where payment has not been received in accordance with these Terms & Conditions.
2. Pricing & Additional Charges
- All quoted prices are exclusive of parking charges, tolls, congestion charges, and any other third-party costs, unless specified otherwise.
- Any additional waiting time, route changes, or extended hire not agreed upon in advance may incur additional charges.
3. Late Payment Charges
- If an invoice remains unpaid 60 days (2 months) after the due date, a 20% late payment surcharge will be applied to the total outstanding amount.
- If an invoice remains unpaid 90 days (3 months) after the due date, a 50% late payment surcharge will be applied to the total outstanding amount.
4. Cancellations & Refunds
- Cancellations made more than 10 days before the date of hire will result in the loss of the deposit but may be eligible for a partial refund, depending on the notice given and the circumstances.
- If we need to cancel a booking, a full refund will be offered.
- If the hirer wishes to cancel the booking, the following cancellation charges will apply to the total hire charge:

5. Delays & Disruptions
- We are not liable for delays caused by traffic, adverse weather conditions, road closures, accidents, or other circumstances beyond our reasonable control.
- We will make reasonable efforts to minimise any inconvenience caused by delays or disruptions.
6. Coach Waiting Time & Late Arrival Policy
- Our coach will wait for up to 15 minutes from the scheduled booking time at no additional charge.
- If the customer arrives more than 15 minutes late, additional waiting time will be charged at £70 per hour.
7. Cleaning Bond Policy — Sports Events
A refundable cleaning bond is required for all sports-related bookings:
- £200 for 51-seater coaches
- £150 for midi coaches
- £100 for minibuses
The cleaning bond will be fully refunded provided that the vehicle is returned in a clean and tidy condition at the end of the journey.
8. Passenger Conduct
- Passengers must behave in an orderly and respectful manner at all times.
- Any abusive, violent, threatening, or antisocial behaviour may result in the immediate termination of the service without a refund.
- Smoking, consumption of alcohol, and the use of illegal substances are strictly prohibited on all our vehicles.
- The Client is responsible for any damage caused by members of their party to the vehicle and will be liable for all reasonable repair and cleaning costs.
9. Luggage & Personal Belongings
- Passengers are responsible for their own personal belongings and luggage.
- We do not accept liability for any loss, theft, or damage to luggage or personal items.
- The driver reserves the right to refuse items considered unsafe, unsuitable, or excessive in volume.
10. Vehicle Substitution
- We reserve the right to provide a substitute vehicle of similar seating capacity in the event of a breakdown or other unforeseen circumstances.
- Where necessary, the replacement service may be provided using more than one vehicle.
11. Notices
- No bill, poster, advertisement, or other notice may be displayed on any vehicle without the prior consent of the Company.
12. Liability
- Our liability is limited to providing the transport service as agreed.
- We are not responsible for consequential losses, missed events, or alternative travel arrangements arising from delays, cancellations, breakdowns, or other circumstances beyond our reasonable control.
- Nothing in these Terms & Conditions limits or excludes our liability for death or personal injury caused by our negligence.
13. Complaints
- In the event of a complaint regarding our services, the hirer should endeavour to resolve the matter at the time by seeking assistance from the driver or the Company.
- Where the matter cannot be resolved at the time, complaints should be submitted to the Company in writing.
14. Force Majeure
- We shall not be liable for any failure or delay in performing our obligations where such failure or delay is caused by circumstances beyond our reasonable control.
- Such circumstances may include, but are not limited to, acts of God, extreme weather, strikes, lockouts, accidents, road closures, governmental restrictions, or other events beyond our control.
15. Governing Law
- These Terms & Conditions shall be governed by and construed in accordance with the laws of the United Kingdom.
- Any disputes arising in connection with these Terms & Conditions shall be subject to the exclusive jurisdiction of the courts of the United Kingdom.
